Privacy Policy: Climate Leaders Retreat

Global Optimism Impact Ltd (“we”/”us”/“our”) are committed to protecting and respecting your privacy. This privacy policy tells you what information about you we need to collect, why we collect it and what we do with it. You can always contact us with questions about our use of your personal information at events@globaloptimism.com. We work with Plum Village Monastery, to provide our Climate Leaders Retreats. We want you to understand clearly our practices regarding your personal data and how we will treat it, so please read the following carefully.

We Collect we may collect directly from you, the following information:
● All details requested on our registration form, required to secure and facilitate your place on a Climate Leaders Retreat
● Any health information you choose to provide to us, by completing a health questionnaire or otherwise during the course of a Climate Leaders Retreat
● Any other information you choose to provide to us before, during or after a Climate Leaders Retreat
● All correspondence between us


How we collect, use and store personal data

We collect, use and store this personal data for the following purposes:
● To fulfill our obligation to you to organise and operate the Climate Leaders Retreats
● For our legitimate interests in operating retreats in conjunction with Plum Village Monastery
● Subject to your consent, for example in relation to your health data
● To provide you with information that you request from us
● Otherwise to comply with data protection laws


Who do we share your data with?
We do not sell or trade in your personal data. Where we need to do so to organise and operate the Climate Leaders Retreats, we may share your personal information with the Plum Village Monastery. With Global Optimism Impact Ltd, Plum Village Monastery may therefore act as a joint data controller of your personal data. Plum Village’s privacy notice is available here.

We may also share certain personal data (e.g. names, contact details and passport details) with the venues that are hosting Climate Leaders Retreats. We also share your data with organisations acting as our “data processors” that support the work that we do as our service providers (e.g the software companies we use and our IT services supplier). Because we share the same IT systems, our sister company, Global Optimism Strategy Limited may also be considered as a data processor of certain limited personal data relating to contact details. These companies do not have any right to use your personal data for their own purposes.

Security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a genuine need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

Data retention
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for. We will delete all health information we collect from you within 3 months after the end of any Climate Leaders Retreat and will simply ask you to complete a new health questionnaire every time you join us for a retreat.
 

Your Rights
You have a number of rights under data protection laws in relation to your personal data. You have the right to:

● Request access to your personal data.
● Request correction of the personal data that we hold about you.
● Request erasure of your personal data in certain circumstances.
● Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) as the legal basis for that particular use of your data.
● Request the transfer of your personal data to you or to a third party.
● Request restriction of processing of your personal data.

If you do not think that we have acted within the law, you have the right to complain to the UK Information Commissioner’s Office directly at www.ico.org.uk.

Transferring personal data outside the UK / EU
Countries outside the UK and the European Union may have a lower standard of protection for personal information than that required by UK and have EU data protection laws. The personal data we collect may be transferred to, and stored, outside the UK or EU (including for example in the United States) and may also be processed by people or companies operating outside the UK or EU who work for us or one of our partners or suppliers. In the event that we need to transfer personal data to a company based outside the UK or the EU, we do our best to ensure that the data is handled in line with UK and EU law by checking that the data is protected by appropriate contractual terms.
